Meeting Minutes: October 14, 2014
News and Updates
* Important Date Changes:
- The Portland Singing Christmas Tree concert will be held on Saturday, November 29th. We have ben asked to performa again this year and will receive a $1000 donation for the choir program. The event is held at New Hope Church in Clackamas at 7:30pm. When purchasing tickets for the November 29th evening concert (when the SHS Concert Choir is performing) the code: Sherwood 2014 must be entered.
- The Spring Concert has been moved from May 28th to May 27th due to a scheduling conflict.
* The Messiah performance will be held on Tuesday, December 2nd at 7:30 pm in the PAC. The Dress Rehearsal will be Monday, December 1st at 6:30 in the PAC.
* Robes
- An additional 31 choir roves have been ordered. Kathy will need help re-numbering the robes prior to the Messiah concert in December. The old numbers will need to be covered up and all robes will need to be re-numbered. Kathy will put our an email asking for a parent volunteer or two to help with this.
* Hallway / PAC Décor
- It was agreed that now is a good time to move forward with the re-vamping of the showcase in the hall to be more inclusive of all of the performing arts. Kathy will talk with Brant about making space in the showcase. Katie and Trish will work on the set up as well as additional décor (pictures from past shows, etc.) for the hallway and bulletin board. They will work with Robyn Folsom on a budget for these projects, as it makes best sense that the funding for this project come from the performing arts budget. Ideally this project will be complete prior to the opening night of the fall play, Promedy.
Upcoming Events
* Fall Play - Promedy
- The show will take place in The Commons rather than the traditional setting of the PAC. This will allow us the opportunity to offer the show in a Dinner Theater style, with a dinner served before the show. We had 36 talented student actors audition, of which 22 were called back. The final cast list will be posted after school on Friday, October 17th.
- Karen will need several teams of volunteers to ensure that this production is a success. She has reached out to Kelly @ Archer Glen to begin thinking about the expense and how/what food will be served.
- Karen is looking for a co=production manager to assist her and "learn the ropes". She will reach out again once the final cast list has ben posted and invite the parents to attend a planning meting to begin the coordination.
- Karen will reach out to March to get a Box Office up and going for this event. The hope is that 100 tickets per night will be sold for the dinner. For those not desiring to sit for the diner, tickets will also be available at a show only price. We talked about setting a cut off one to two weeks before the show for the purchase of dinner tickets to allow enough time for food items to be procured in proper quantities for each show.
- Additional teams will be needed for:
- Poster creation and printing: Kathy will reach out to the classes to se if there is a student who would like to help create a poster. Once the poster is created there will be a need for someone to get the poster printed and distributed.
- Food teams: Individual(s) to help coordinate the parent volunteers, assist with the food planning, food prep, etc.
Jessica shared that Grocery Outlet has been a huge supporter of the Bank in past years, donating food and paper products for their Spaghetti fundraiser in previous years. She will get Karen the contact information for this individual.
* Messiah Concert
- It was decided that it would be appropriate to have a hospitality table following the Messiah concert. The treats on the table will be brought in "pot luck" style with each choir family being asked to bring in a plate of their favorite holiday treat to share. Naomi, Sally and Tiera will coordinate the table, setting out the treats and providing beverages.
* Winter Concert
- Due to space limitations we will put out a display board and information about upcoming events only. No hospitality for this event.
* Other News:
- Sherwood Rotary Grant: Lisa Adams will join Kathy Shuckerow and the Mixolydians on Friday, November 7th at 6:45M for a brief presentation at the Rotary Meeting. All Booster and Parents are welcome and encouraged to attend to show our thanks to the Rotary.
- Broadway Bits is our next event on the horizon. This event will be discussed in greater detail after the Fall Play has wrapped.
